Legal Secretary / Accounts Assistant – Sunshine Coast

Aitken Legal is a law firm specialising in Employment Law and representing Employers only.  We have offices on the Sunshine Coast, Gold Coast and Melbourne.  This position is based in our Sunshine Coast office.

The Legal Secretary / Accounts Assistant position includes the following duties:

Legal Secretarial:   

Answering telephones; sending out new client forms and client agreements; meeting and greeting clients; maintaining electronic files; photocopying; filing; scanning; opening and archiving files in our legal practice management software; ordering supplies; typing; transcribing digital dictation; amending correspondence and legal documents; managing diaries for lawyers; arranging meetings with clients; opening mail; arranging couriers; maintaining cleanliness of the kitchen and conference rooms, etc and other general administration duties. Thorough knowledge of the use of Windows programs such as Word, Outlook, Excel and PowerPoint is required.  

Legal Accounts: 

Assisting the Accounts Manager with the Firm’s accounting functions across our three offices including bank reconciliations; invoicing clients; paying firm invoices; preparing statements and letters; debt recovery; answering account enquiries, etc.  We are looking for someone with accounts experience, particularly in a law firm, and who will be able to undertake the day-to-day accounts duties during any period of absence of the Accounts Manager.  However, for the right person, this training can be provided.  

The firm uses Practice Evolve as its legal practice management software which is used for all time recording, accounting functions and document management and all client files are maintained in Practice Evolve.  Experience in Practice Evolve would be beneficial but training will be provided for the successful applicant.  In these circumstances, experience in some other legal practice management software would be advantageous. 

It is important that the successful Applicant presents themselves professionally; has great attention to detail and is a team player with fantastic people skills so as to inter-relate well with our team, clients and service providers. They also need to have wonderful telephone etiquette when answering the firm’s telephones.  This is important because they are the first impression a prospective client has of our firm, as well as a familiar voice to our regular clients.
